An introduction to certificates and transcripts
Maybe you couldn't attend your graduation? Or perhaps you need a replacement document? Whatever your reason for needing a new certificate, we can help.
We also provide information on how to get diploma supplements and other documents, including verification of awards letters, a DOATAP document and certificates awarded by St George's.
If you graduated before 1992 or are in need of an Education Achievement Report, we have guidance on this too.
If you need / don’t have a certificate
If you are not planning to attend your ceremony and have received your invitation email:
- Go onto OSIS
- Click on 'Your Graduation', to confirm you are not attending
- Enter the address you want your certificate sent to
If you logged into OSIS and told us you weren't attending, we will contact you after the ceremonies have taken place to organise posting your certificate.
If you completed your studies within the last five years, did not attend your ceremony and have not received your certificate, please complete the contact form at the bottom of this page.
If it's been more than five years since you completed your studies, you will need to purchase replacement documents. You can do this using the order form at the bottom of this page.
If your graduation ceremony is taking place within two months of your award date, you can’t have your certificate before your graduation.
If your graduation ceremony is taking place more than two months after your award date, you can contact us to request your certificate using the contact form below. You will not receive another one during the ceremony and don't need to bring your certificate with you. This will not affect your experience on the day as certificates are issued off-stage.
If your original certificate has been lost or destroyed, please purchase a replacement by completing the form at the bottom of this page. However, if you still have your original certificate, you are not entitled to another one. This is because there can only be one original certificate in existence at any one time.
Replacements have the same status as the original. However, as they're produced in our current format, they may not look the same as the original. The University reserves the right not to issue a replacement.
Certified copy certificates overprinted with a statement to say they are a true copy of the original. They are signed, dated and stamped. Replacement certificates do not have an overprinted statement.
Diploma supplements
A diploma supplement and a transcript are the same thing; at Kingston University we refer to it as a diploma supplement. A diploma supplement is a breakdown of your module grades.
A HEAR is an electronic version that replaces the printed diploma supplement. It includes additional information about your extra-curricular activities. It's available to graduates who completed their studies at Kingston University after 1 April 2014.
This depends on when you completed your studies:

Other documents
A verification of award letter confirms:
- Your final award title
- Your classification
- Your name whilst studying
- The date you achieved your award
- The start and end date of your course
It does not include the location of your course and the mode of study.
If you graduated between 1 July 2003 and 31 March 2014, then WES requires a certified hard copy diploma supplement to be sent directly to them by Kingston University. Please place an order online.
If you graduated from 1 April 2014, WES will accept your electronic Higher Education Achievement Report (HEAR), which you must release to them yourself.

You can place an order for a DOATAP letter using the order form at the bottom of this page. This document is only available to former students applying to the Greek DOATAP authorities to validate their award.
If you graduated before 1994, please apply directly to Pearson Qualifications. If your award was post 1994, Kingston University should be able to provide your certificate (except for the Foundation Diploma in Art & Design).

Name changes
The name entered on the enrolment form and verified as part of the enrolment procedures is the one that will appear on a graduation certificate.
Your name cannot be changed once your award has been formally agreed by the Programme Assessment Board (PAB), unless the reasons for that change are considered exceptional. It is your responsibility to make sure your name is correct before your award has been agreed.
Debtors
We cannot provide any certificate, diploma supplement or award letter if you have outstanding payments on your account with the University.
How to settle outstanding debts
Debts can be settled by contacting the Accounts Receivable on +44 (0)20 8417 3333 or by paying online.
To settle your library debt, contact the Information Centre on +44 (0)208 417 6000.
How and when certificates will be sent / received?
Requests are usually processed within 15 working days. We recommend that you place your order in plenty of time as urgent requests cannot be prioritised.
We are particularly busy during the graduation periods (mid-June to July and January). Throughout these periods, it may take longer to process your order.
We can only send your documents through the post.
The HEAR is the only electronic document we provide, all other documents have to be posted as hard copies.
If you have ordered documents via our website but no longer require them, you may be entitled to a refund, provided we have not processed your order.
You will need to contact us as soon as possible to request a cancellation and refund, using the contact form at the bottom of this page. If a refund has been agreed, we will try to credit the card you used for the purchase within two weeks.
If your order has already been processed and your refund request reaches us after your documents have been produced, we cannot provide a refund.
Graduates pre-1992
Kingston University was established on 16 June 1992. Before then, the awarding body for Kingston Polytechnic was the Council for National Academic Awards (CNAA). You can order a replacement certificate from CNAA by contacting them directly.
Details of your module results are not available. This is because there was no requirement for UK Universities to provide students with module results until 2003.
If you graduated in the 1970s, you will have been awarded by the University of London. Please call +44 (0)20 7862 8000 and leave a message with your details. If the University of London is unable to re-produce a certificate for any reason, they should be able to issue verification.
Award verification for third parties
Employers, prospective employers, other educational institutions, funding bodies or recognised voluntary organisations may request information on a student's educational attainments. However, the University can only supply information with the graduate's permission.
We aim to reply to all award verification requests from third parties within 10 working days. Requests carry a service charge of £12 per search undertaken* and can be made via the online store.
The following information is required:
- The graduate's first name (at the time of their studies)
- The graduate's surname (at the time of their studies)
- The graduate's date of birth
- The graduate's Kingston University ID number (if known)
- The graduate's subject of study
- The graduate's date of attendance (if known)
- Who the award verification should be addressed to
Once you have placed your order, we will send you a confirmation email, and carry out the search. For us to release the results of the search to you, you must attach a signed consent from the graduate as a reply to our confirmation email within 21 days of the original request. After this time, a new order will need to be placed and a further £12 payment made. *Please note payments are non-refundable once we have received your request.
Our award verification will then be sent to you via email.

The HEAR is available to all taught course students Kingston University is required to provide a diploma supplement for and who graduated after April 2014. PGR/Research students are not eligible for a HEAR.
Your final HEAR will be available shortly after you have received your results. During your course, the University will be updating your HEAR twice a year, in January and July.
You CAN access your HEAR via the Gradintelligence website. The service is free for students. If you are currently studying at Kingston University, you should be able to activate your Gradintelligence account via a link on the OSIS home page.
If you enrolled prior to September 2015 and no longer have access to OSIS, you will have received an email from Gradintelligence advising you how to activate your account.
Gradintelligence is part of the Tribal Group, who are suppliers of Kingston University's Student Records System.
Once you have registered with Gradintelligence, you can continue to access your HEAR through the Gradintelligence website after you have finished your studies.
Kingston University does not produce paper copies of the HEAR. Students and employers can print paper copies for their own use, but these are not verifiable by the University.
If there is incorrect information relating to your results, you should contact your student office in the first instance. Please be aware that the HEAR is only updated twice each academic year, in January and July.
The HEAR was introduced for students graduating after April 2014. The verifiable non-academic achievements which are included in the HEAR were not recorded for graduates before that date.
